To support the move to our new office, we are seeking an experienced Administrator to join us on a part time basis. You will work in a busy office environment where you will provide administrative support for a group of talented engineers, planners and scientists.
You will be involved in scheduling meetings, preparing agendas, taking and distributing minutes and arranging all the necessary conference room facilities, including arranging travel and accommodation. You may be required to assist with the organisation of external events. You will assist with the preparation/formatting of documents using the Microsoft Office suite (Word/Excel/PowerPoint) and ensure filing and archiving systems are maintained.
You will be the first point of contact for office and maintenance issues, taking responsibility for dealing with contractors to report faults and repairs, ensuring necessary paperwork is obtained to ensure compliance.
You will assist with collating information relating to bid documents and tenders which could require liaison with different teams/departments across the business and/or completing supplier questionnaires.
You will also have the opportunity to be involved in supporting managers who are responsible for developing relationships with some of our key clients.
About You
You will have previous experience of working in a busy office environment and have strong skills in Microsoft Office. You will have strong communication and organisational skills. A high degree of self-management, initiative, reliability and flexibility to ensure that the best possible service is given to internal and external clients.
You remain calm and positive under pressure, always eager to tackle new challenges and contribute to team success. You effectively plan and prioritise your workload, ensuring you meet deadlines and exceed expectations. You will have the ability to handle routine and non-routine tasks with confidence and efficiency.
You will maintain strong communication channels with both external contacts and colleagues at all levels, ensuring that administrative matters are handled smoothly and effectively.
