The Opportunity

Stantec are currently looking for an experienced Executive Assistant to join our vibrant Bristol office on a permanent basis. This is a great opportunity to join a thriving business in the heart of the Bristol community with strong forward growth plans. We can offer you a great environment to work in, a strong learning culture, and the opportunity to work among experienced teams that will help take your career to the next level.

We are established as one of the leading development consultancies in the South West and have developed strong relationships with our clients in both the private and public sector.  We are the leaders in our field for the investment in staff development, apprentice programmes, STEM initiatives, and the progression of future business leaders.

As our Executive Assistant, you will be involved in a wide variety of tasks on a day to day basis. It’s important to note that not only will you support our business leaders, you will also provide an effective service to support the general office, technical teams, managers, groups and boards, as part of the wider Administrative team.

A critical element to your role will be offering support to our technical delivery and bidding teams. You will help coordinate and manage the delivery of works produced by multi-disciplinary technical teams to support successful project outcomes for our clients and our sector growth plans. Day to day tasks will include formatting and finalising proposals, technical report writing, proposal and bid supports, and presentations to ensure work is completed to a high standard.

From a general office perspective, you will be one of the first points of contact for telephone enquiries and for welcoming visitors to the office. You will be responsible for extensive and proactive diary management including arranging and managing appointments, travel, and producing itineraries and other documents as required.  You will also have the opportunity to mentor the more junior members of the team as we grow.

About You:

• Strong administrative experience, ideally from a similar consultancy background would be desirable, although not essential.
• Experience of formatting reports and finalising proposals and bids through effective liaising with technical and subject matter experts.
• Excellent working knowledge of Microsoft Office, (particularly Word, Excel, PowerPoint and Outlook)
• Adobe InDesign or similar graphic design software advantageous.
• Proven experience in the creation of high-quality reports and presentations.
• Strong project co-ordination skills with the ability to work on multiple projects simultaneously and prioritise workload.
• Be proactive, efficient, accurate, and able to work unsupervised.

If you are looking for an EA or business support role that can offer you something different, then we’d love to hear from you.
